Shortfalls

Two origins, one list — and they mean different things.

Before you start

A shortfall is stock that is gone without a booking to explain it. GardyProp lists them with date, place, item, quantity and money value, and you can narrow the period.

Good to know

There are two origins, and the remedy differs:

Count. Somebody looked and found less than the book said. This is the quiet loss: breakage, shrinkage, an unbooked withdrawal. The remedy is in the yard.

Overdraw. More was used than was booked onto the van. That is not a gap on a shelf — it is a contradiction between loading and consumption, usually incompletely booked loading. The remedy is at the loading screen.

Both belong in one window because they answer the same question — what does not add up? — and both need their own word because what you do about them is different.

The direction matters. Without it every count looked like a shortfall: a count that found more than expected was listed as a loss. The number in the window contradicted the count that had produced it.

Shortfalls do not go into the margin per pool. Shrinkage belongs to no pool. It would make a customer look expensive who had nothing to do with it — so it has its own list and its own total. See how the margin is calculated.

What it does not do

It does not assign blame. The list names the place and the time, not a person.

It cannot find a shortfall on its own. No shortfall exists until somebody counts — see counting and handing back.
