DIGITALPRODUCT&SERVICE LLC ("we", "us", "GardyProp") operates the GardyProp platform at gardyprop.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

1. Information We Collect

1.1 Account Information

When you register, we collect:

  • Name (first and last name of the account holder)
  • Company name
  • Email address
  • Phone number
  • Country of operation
  • Password (stored as a bcrypt hash — we never store plaintext passwords)

1.2 Service Data

When you use GardyProp, we store data you enter, including:

  • Customer records (names, addresses, contact details)
  • Pool and site information (locations, dimensions, equipment)
  • Tour and visit data (routes, schedules, readings, chemical logs)
  • Photos (before/after images taken during visits)
  • Service reports and notifications

1.3 GPS and Location Data

Our field app collects GPS coordinates during visits for geofencing and route optimization. Location data is only collected when technicians are actively using the field app. Address masking ensures technicians only see GPS pins, not full customer addresses.

1.4 Payment Information

Payment processing is handled by Stripe, Inc. We do not store credit card numbers or bank account details on our servers. Stripe's privacy policy applies to payment data: stripe.com/privacy.

1.5 Automatically Collected Data

We may collect standard web analytics data such as IP addresses, browser type, and page views to improve our service. We do not use third-party advertising trackers.

2. How We Use Your Information

  • To provide and maintain the GardyProp service
  • To process your subscription and billing
  • To send transactional emails (verification, password reset, service reports)
  • To optimize routes and calculate distances (via OSRM — only GPS coordinates are transmitted, no personal data)
  • To improve our platform and fix bugs
  • To comply with legal obligations

3. Data Sharing

We do not sell your data. We share data only with:

  • Stripe — for payment processing
  • Resend — for transactional email delivery
  • Cloudflare R2 — for secure photo and file storage
  • Neon — for database hosting (PostgreSQL)
  • Vercel — for application hosting
  • OSRM — for route optimization (only GPS coordinates, no personal data)
  • Anthropic — for the assistant in the app and on the website (only the text of the question and the contact details given with it)
  • Cal.com — for booking the onboarding call (name, email address and the slot you choose)

All sub-processors are GDPR-compliant or operate under adequate data protection frameworks.

The assistant answers questions about how to use GardyProp. Your question is sent to Anthropic and processed there; it is not used to train models. We store questions and answers in order to improve the guide. Do not enter personal data of your customers into the assistant.

4. Data Storage and Security

  • Data is processed on servers in the USA (Neon PostgreSQL, Cloudflare R2); transfers are safeguarded by Standard Contractual Clauses (see DPA, section 7)
  • All data is encrypted in transit (TLS/HTTPS)
  • Passwords are hashed with bcrypt (12 salt rounds)
  • Authentication uses secure httpOnly cookies with JWT tokens
  • Multi-tenancy isolation ensures companies can only access their own data
  • Photos are stored with signed URLs that expire after 1 hour

5. Data Retention

We retain your data for as long as your account is active. When it ends — by cancellation or because the trial has run out — we keep the data for ninety days so that you can reopen the account. Fourteen days before deletion you receive an email. After that it is permanently deleted. You can request immediate deletion at any time by contacting us.

6. Your Rights (GDPR)

If you are in the EU/EEA, you have the right to:

  • Access — request a copy of your personal data
  • Rectification — correct inaccurate data
  • Erasure — request deletion of your data ("right to be forgotten")
  • Portability — receive your data in a machine-readable format
  • Restriction — limit how we process your data
  • Objection — object to certain processing activities

7. Cookies

We use only essential cookies required for authentication (session token). We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

8. Children's Privacy

GardyProp is a B2B service and is not directed at individuals under 18 years of age.

9. Changes to This Policy

We may update this policy from time to time. We will notify registered users of significant changes via email. The "last updated" date at the top reflects the most recent revision.
